Presenter guidelines: oral

The goal of this presentation award is to select posters which stand out for their clear communication, but also to highlight new innovative approaches to poster presentations which can also include audio and video elements. We will award outstanding examples that communicate scientific content also to non-specialists of the presented topic in a way that enthuses, inspires, and well explains the subject and results. Only posters and presentations which appear attractive and rank high in the communication criteria (see below) will be taken into further consideration for the evaluation from a scientific point of view.

  • Oral presentations are organised in oral sessions scheduled in specific lecture rooms at specific times. Oral sessions are scheduled in up to four time blocks of different lengths (75min | 90 min | 120 min) per day; larger sessions cover multiple time blocks.
  • The time and length assigned for each contribution is given in the programme; this time includes discussion and change over.
  • All oral sessions are run in a fully hybrid mode, using the lecture room settings for on-site attendees combined with Zoom for online participants. This setup will allow both on-site and online attendees to follow and present in the session equally. In addition, we plan to stream all talks on the gather.town platform so using Zoom is not required to attend the session in the virtual audience; however, chat options might be limited.
  • On-site presenters must give a live presentation; online presenters are also requested to present live, but have the option to submit a pre-recorded talk should they be unable to be present due to time-zone differences, unstable internet connection, or other barriers.
  • In order to guarantee a flawless conducting of the session, all presentations are run inside the lecture room. On-site presenters control their slides themselves while for online presenters, the conference assistant in the room will forward your slides as required. In both cases, the presentation is shared in the Zoom session to be watched by on-site and virtual attendees equally.
  • Please inform the session chair and the lecture room assistant about the name of the presenting author in advance of the start of the session, in case this has changed since the programme was published.
  • For ALL oral presentations – onsite and online – a live presentation file needs to be uploaded to the conference platform at least 24 hours in advance of the start of the session. No upload onto the laptop in the lecture room will be allowed for hygiene reasons. It is NOT possible to use your own notebook.
  • Two separate types of material should be uploaded to the programme page: in addition to the live presentation file also display material can be uploaded. Please note: The presentation file as well as display materials can be uploaded by contact and presenting authors who have completed and paid their registration for the conference.   • Any participation in a session, whether virtually or on-site, as presenter or attendee, in zoom or gather.town, requires a registration for the conference.
  • For virtual attendance, we strongly recommend downloading and using the Zoom client rather than accessing Zoom through the browser. To ensure sufficient quality, your bandwidth must have a capacity of at least 1 MBit/s upstream and 2 MBit/s downstream.

Presentation preparation

Photo, screen capture or video taking by the audience of scientific material shown in any oral or poster presentation is not allowed unless the presenter authorizes this. Please inform the audience if you welcome photos or screen capture and their sharing on social media by including an official graphic “screen capture welcome“ (download PNG, JPG, PDF)| “screen capture NOT allowed“ (download PNG, JPG, PDF) on the first (or all) slide(s).
