Photo and video taking by the audience: Photo, screen capture or video taking by the audience of scientific material shown in any oral or poster presentation is not allowed unless the presenter authorizes this. Please inform the audience whether you welcome photos or screen capture and their sharing on social media by including an official graphic "screen capture welcome" (download PNG, JPG, PDF)or "screen capture NOT allowed" (download PNG, JPG, PDF) on your presentation.
Poster display times are scheduled for each session; four display times are scheduled during the conference week:
Onsite poster display: Onsite poster boards will only be available for those poster presentations designated as onsite poster presentations; in the session programme, the presentation type (onsite |online) is shown next to the abstract number for each presentation. Due to space limitations and to keep larger distances between poster rows, onsite posters will have to be changed each evening.
A poster print service is offered for onsite poster presenters. You can send your poster by email to a local copy shop before 31 August and your poster will be delivered to the conference venue. Please find detailed information here.
We encourage all onsite poster presenters to also upload their poster for the online presentation (dee the following section on online poster display).
Online poster display: We plan to provide the opportunity for all posters – online and onsite presentation mode – to be displayed in an online poster-area in gather.town for the entire conference week. In analogue to the onsite poster display times, online display of posters will be organised spatially according to the four display times in four separate (but connected) areas (“Poster-Monday”, “Poster-Tuesday”, …). For your poster to be displayed in gather.town the poster must be uploaded as a live presentation file by 29 August 2022 at the latest.
Pre-upload: Two separate types of material can be uploaded to the programme page: in addition to the live presentation file further display material can also be uploaded or linked; both uploads will be available from 9 August to 9 October 2022. Please remember that a paid conference registration (either for on-site participation or online participation) is mandatory in order to access the upload tool. For more information on live presentation files and display material see here
For each session an “author-in-attendance time”, known as poster session, is scheduled. Authors are also encouraged to be present at their poster during coffee break times in general. Poster sessions will be run on site, and are scheduled as parallel sessions at the same time as oral sessions. For some of the sessions, in particular large ones that last one full day or more, the poster session will be on a different day, in some cases preceding the oral session.
Separate online poster sessions are not planned at this stage. Online poster presenters are asked to be present at their poster at the scheduled author-in-attendance time to be available for online discussions with any online participants at these times.
For details on author-in-attendance time and the display time for each session please see the table below.
Independent of any poster pitch times that might be scheduled during oral sessions, all poster authors are invited to upload pre-recorded pitches as display material before the start of the conference. For recommendations on poster pitch preparation see below.
Conveners of two sessions chose to implement the SPARK-format for their session (ES2.3, UP1.7): for these, two longer SPECIAL TRACK solicited talks of 20 min + Q&A, plus all other contributions as posters with impulse poster pitches (3+2 min) are scheduled. If your poster presentation is scheduled for one of these sessions, please consult the oral programme of the respective session for the time of your extended/impulse poster pitch and prepare that pitch accordingly.
As the organisation and scheduling of poster presentations is a challenge, especially this year with limited space for posters, and empty poster boards are frustrating to look at during the conference week, it would be greatly appreciated if authors who already know that their poster cannot be presented - for whichever reason - would withdraw their abstract from the session programme as soon as their decision has been made. In case you would like to change your presentation to online poster instead, please contact us directly at ems2022@copernicus.org. Please note, that we monitor the no-shows during the conference, and the related abstracts will then be withdrawn from the session programme. Thank you.
Authors are kindly asked to put up their posters as soon as possible within their given display time in order to enable the conference participants and the selection committee for the poster presentation award to view their posters at any time within the display time. Fixing material (Velcro points) is available at the name badge pick-up and information desk.
Authors are asked to take the posters down between 18:00–19:00 (Display times: Monday to Wednesday), and on Friday between 14:00–14:30 (Display time: Thursday to Friday). Posters that have not been removed within this dismantling time will be removed and disposed of.
The number of each poster and of its corresponding poster board is given in the respective session programme.
Please note that this year the format of poster boards will be portrait, 100 cm width x 200 cm height. We recommend to use posters in the format A0-portrait. |
ONSITE and ONLINE poster presenters are eligible for the award. Only presentations that have been uploaded as live presentation material by 29 August 2022 are eligible for the award.
To participate in the poster presentation award competition authors are asked
We recommend that authors of poster presentations are prepared to provide a summary of their contribution during the respective oral session. For some sessions, time for such poster pitches is allowed within the oral programme; please check the oral programme of your session on the website for details and prepare for this purpose. You may also be asked ad hoc by the session chair for a summary presentation in case a gap should occur in the oral programme. You may also be contacted by the convener before the conference with the request to provide two key sentences and/or one slide about your poster.
We also invite you to pre-record a one-minute poster pitch and upload the video in advance with your display material.
Advice on how to prepare and structure a poster pitch (“elevator pitch”) can be found in this video on YouTube: How to Present Poster – Presentation/Pitch
If you wish you may inform the convener of your session whether you would be prepared to give an oral presentation should gaps occur. Details on presentations in oral sessions can be found in the guidelines for oral presentations.
