General information
- Registration for the EMS Annual Meeting 2022 is secured via payment of the appropriate registration fee.
- There is no waiving of registration fees except for scientists receiving support.
- The onsite registration fee includes participation in the onsite meeting as well as coffee breaks.
- The virtual registration fee includes the participation in the virtual part of the conference.
- Please read our instructions for online registration as well as the terms and conditions.
To show our support for Ukraine and in accordance with current European sanctions, EMS will not accept any payment of EMS2022 registration or abstract submission fees from Russian or Belarusian institutions paid on behalf of researchers based at or affiliated with them.
Onsite-participation registration fees
Early registration rates provide three payment options: (a) by credit card, (b) PayPal, or (c) by bank transfer.
Standard registration rates are applied after the early registration deadline and until 2 September 2022, 23:59 CEST. Standard registration rates can only be paid online by credit card or PayPal.
Late registration rates are applied from 3 September 2022 until the end of the conference. Onsite payments are not possible. All registrations must be processed and paid via the online registration form.
For the onsite participation in Bonn, the Onsite-participation registration fees are invoiced with the German VAT of 19%. Therefore, the onsite-participation registration fees below are gross prices.

Disclaimer for onsite participation
The following disclaimer must be accepted inside the onsite registration web form when acquiring your onsite participation.
- All onsite attendees are obliged to fulfil the German requirements for the large event participation including, but not limited to, evidence of a low epidemiological risk (e.g. vaccination status of EMA-approved vaccine), FFP-2 or medical masks, distance measure, usage of disinfectants, etc. These regulations might be adjusted from now until the EMS2022 starts.
- In order to avoid the spread of COVID-19 and to guarantee a safe conference for all participants, all onsite attendees must agree to strictly follow the hygiene concept of the EMS2022 and the rules stated at the time as issued by the German authorities, the University of Bonn, EMS, and Copernicus Meetings. These regulations and the hygiene concept might be adjusted several times, including adjustments on short notice just before the conference starts. Under this aspect, an onsite participation is at the risk of the attendee. Neither Copernicus Meetings nor the EMS, University of Bonn, or any company providing services for the onsite conference can be made liable for any possible infections, resulting damages to the attendee's health, or any subsequent suffering an attendee might get.
- The contact details of onsite attendees will be recorded for possible contact tracing and must be passed on by Copernicus Meetings to the German authorities in the event of an emergency.
- Possible adjustments to the German requirements for the large event participation and/or the EMS2022 hygiene concept might lead to a situation where either an onsite attendee is forced to cancel their onsite registration or Copernicus Meetings as event organizer is forced to cancel it. For such late cancellations due to German travel and/or event regulations, Copernicus Meetings will reimburse the attendee's gross onsite registration fee without an additional cancellation fee. Copernicus Meetings and EMS would not be liable for any subsequent claims for any other reimbursements (e.g. attendee's travel or accommodation costs).
- Due to the unpredictable circumstances, EMS and Copernicus Meetings may decide to cancel the onsite part of EMS2022 rather lately and turn the conference into a virtual one. In such case, attendees who acquired an onsite registration for the hybrid EMS2022 will be turned into a virtual registration for a purely virtual EMS2022. Such attendees will get reimbursement for the difference in registration fees. Even in this case, Copernicus Meetings and EMS would not be liable for any subsequent claims for any other reimbursements (e.g. attendee's travel or accommodation costs).
Virtual-participation registration fees

Remark on VAT: while onsite registration fees for attendees taking part in Bonn are invoiced with the value-added tax (VAT) of Germany, fully virtual participation at EMS2022 has by EU law a different regulation. The prices below are all net prices. The VAT in the invoices and payments will be added as follows and depends on (a) the country of residence of the attendee and (b) whether they apply an institutional invoice to their employer or a personal invoice:
- Institutional invoice for German institutions: 19% German VAT will be added to the net prices given below and the gross amount must be paid.
- Institutional invoice for institutions from EU countries excl. Germany: the institution's VAT ID must be provided. Then, the reverse-charge procedure will be applied. The invoiced amount stays net and the institution is obliged to settle the VAT in their country.
- Institutional invoice for institutions from outside the EU: the reverse-charge procedure will be applied. The invoiced amount stays net and the institution is obliged to settle the VAT in their country.
- Personal invoices, residency Germany: 19% German VAT will be added to the net prices given below and the gross amount must be paid.
- Personal invoices, residency EU excl. Germany: the OSS procedure will be applied. Copernicus will use the VAT rate of the country of residence of the attendee. This VAT rate will be added to the net prices below when issuing the gross invoice amount to be paid. Copernicus will centrally settle these foreign-country VAT amounts with the German authorities.
- Personal invoices, residency outside the EU: this is not possible. Attendees from outside the EU must apply an institutional invoice.

Instructions for online registration
- Please ensure you have read and understood the cancellation policy on registration conditions as provided on the website.
- All information should be typed in upper and lower case (e.g. Jane Smith).
- Since the reverse-charge procedure is applied to registrations for pure online events, attendees from affiliations within EU countries must provide the valid VAT ID of their institution. Attendees from German affiliations are subject to German VAT taxation.
- You will have the opportunity to review and edit any registration details before the final stage of payment.
- 60 minutes is the maximum time allowance to complete the form before the system times out.
- The current versions of Firefox, Google Chrome, Safari, and Edge are the preferred platforms for use of the forms.
Terms and conditions
General
- Registration must be accompanied by payment. Otherwise, no access (onsite or virtual) is granted.
- Registrations are for the person acquiring the registration and paying the registration fee; registrations are non-transferable.
- Registration for the conference implies the acceptance of the rules of conduct.
- Changes to registration invoices are only possible with regard to the invoice address or order references. Any such claims must be received by Copernicus Meetings no later than six weeks after the last day of the conference. Later requests cannot be considered.
- Changes to the registration rate selected in the finalized registration form, including received invoice, are only possible for unpaid invoices. In this case, the attendee is asked to cancel the registration order and to place a new one through the registration form, including the correct registration rate. Please note that the deadline for early and standard registration also applies in these cases.
- If you either pay for an onsite registration or virtual registration, but later need to change your registration type, please contact accounting@copernicus.org by requesting the change and stating your invoice number. You will receive a full refund of your paid fee and you have to register again at the rate that is valid at the time of your new registration. You can only change your registration type before 25 July, 23:59 CEST.
Cancellation policy
- Registration fees will only be refunded if the notice of cancellation is received by Copernicus Meetings until 25 July 2022, 23:59 CEST. The cancellation fee is €50.
- Cancellations after 25 July 2022 and no-shows are not eligible for a refund.
- There is no reason (including but not limited to illness) for registration cancellation that makes the above-mentioned deadline for cancellations inapplicable.
Disclaimer
By registering, participants acknowledge and consent that during their attendance at EMS2022 their contributions to sessions may be recorded by an official of the conference. This content may be distributed or published at the discretion of the European Meteorological Society. If you do not wish to be recorded, you are required to formally advise the EMS Secretariat in advance.
